Convert event registrations to calendar invites

To convert event registrations to calendar invites, follow these steps:

1. Collect Event Details

First, gather all the necessary details about the event:

  • Event Title

  • Date and Time

  • Location (Physical or Virtual)

  • Description

  • RSVP Information

  • Any specific reminder or recurrence settings

2. Create Calendar Event

For most calendar services (Google Calendar, Outlook, etc.), follow these steps:

Google Calendar:

  • Open Google Calendar.

  • Click on Create or the “+” button to add a new event.

  • Fill in the event title, date, time, and location.

  • In the Description box, include additional event details (RSVP links, agenda, etc.).

  • Add guests by entering their email addresses in the “Add guests” section.

  • Set reminders or notifications.

  • Save the event and Google Calendar will send an invite to the added guests automatically.

Outlook Calendar:

  • Open Outlook and go to the Calendar section.

  • Select New Event.

  • Add all the event information (title, date, time, location).

  • Add details in the Notes section (such as agenda, links, etc.).

  • In the Invite attendees section, enter the email addresses of people you want to invite.

  • Once everything is filled out, hit Send to send out the invites.

3. Send Event Registration Links:

If you want event registrants to be able to add the event to their calendar directly, you can:

  • Generate iCalendar (.ics) files from your event platform (like Eventbrite, Meetup, etc.).

  • Link these files in your event registration confirmation emails.

  • Attendees can then click the .ics file, and it will automatically open their default calendar app to add the event.

4. Automate via Tools (Optional):

If you want to fully automate the process, tools like Zapier or Integromat (now Make) can integrate event platforms (like Eventbrite, Google Forms) with Google Calendar, automatically creating events when someone registers.
