Create reminders from past due tasks

To create reminders from past due tasks, follow these general steps:

1. Review All Past Due Tasks

Go through your task list (from your planner, app, spreadsheet, or task manager) and identify items with due dates earlier than today.

2. Categorize by Priority

Sort the overdue tasks based on:

  • High Priority: Critical and time-sensitive.

  • Medium Priority: Important but not urgent.

  • Low Priority: Nice-to-do or not time-bound.

3. Set New Due Dates

Assign realistic due dates considering your current workload. Avoid clustering all tasks for the same day. Use SMART criteria (Specific, Measurable, Achievable, Relevant, Time-bound).

4. Create Reminders in Your Preferred System

Based on the tool you use (e.g., Google Calendar, Microsoft To Do, Notion, Trello, Todoist, etc.), follow these steps:

In Google Calendar:

  • Create a new event or reminder for each task.

  • Title: Use the task name.

  • Date: Set to the new due date.

  • Set alerts (e.g., 1 day before, 1 hour before).

In Microsoft To Do:

  • Click “Add task.”

  • Name the task and set a new due date.

  • Add a reminder time.

  • Organize with tags or categories if needed.

In Todoist:

  • Type task name > Set due date.

  • Add @label or priority level (P1, P2).

  • Set reminders via push/email based on preference.

5. Optional: Automate Recurring Tasks

If any overdue tasks are recurring (e.g., weekly reports), set them as recurring with reminders.

Example:

Overdue Task: Submit project proposal (was due May 10)
New Plan:

  • New Due Date: May 20

  • Reminder: May 19 at 4 PM

  • Tool: Todoist

  • Notes: Attach latest draft for easy access

6. Monitor and Adjust

Check your reminders daily. Adjust due dates if new priorities emerge, but avoid constant rescheduling unless necessary.
